Start with the sources your team already considers correct. Product catalogs, approved FAQs, service policies, delivery rules, and internal guidance are more valuable than collecting every document you have.

Write for customer questions
Organize information around the questions customers ask, not only around how your company stores documents. Clear product names, prices, constraints, locations, and next steps make retrieval more useful.

Your knowledge base should make facts easy to retrieve while leaving decisions that require judgment to your team. This is especially important for exceptions, discounts, negotiations, refunds, and other cases where business context matters.

Keep knowledge fresh
Set a regular review habit. When pricing, inventory guidance, policies, or services change, update the source rather than teaching the agent a conflicting workaround. Consistency is one of the foundations of customer trust.
