Front-loading a long intake form inside a chat kills momentum. Start by answering the customer's question, then ask one or two high-value follow-ups once interest is clear.
Good questions are specific and easy to answer: preferred size or model, timeline, budget range, or whether they want a quote, visit, or call. Avoid yes/no checklists that feel like compliance instead of conversation.

Behind the natural language, the agent should store structured fields your CRM or sales process expects: name, contact method, product or service of interest, intent level, and next action requested.
When the conversation ends or transfers, your team receives a clean summary instead of a raw transcript they must re-read.

A high-intent buyer who asks for a quote after two messages should reach a person faster than a casual browser asking about store hours. Design routing rules around intent signals rather than arbitrary conversation length.
When the AI hands off, include the reason for transfer and the customer's stated goal so the sales rep can continue without repetition.
